Terms & Conditions
Off-airport parking and shuttle transfers serving Glasgow Prestwick Airport and other agreed destinations. Effective 17 September 2026.
These terms form part of your contract with us. Prestwick Park & Fly is an independent off-airport parking provider and is not owned, operated or endorsed by Glasgow Prestwick Airport.
1. Who we are and these terms
1.1 Prestwick Park & Fly is a trading name of REGENCY FM LTD, a company incorporated in Scotland with company number SC810461 and registered office at 5 Whitfield Drive, Heathfield Industrial Estate, Ayr, Ayrshire, KA8 9RX. In these terms, “we”, “us” and “our” mean that company. “You” and “your” mean the person making the booking and, where appropriate, each person using the parking or shuttle service under that booking.
1.2 These terms apply to all bookings for parking and any associated shuttle transfer. By making a booking, leaving a vehicle with us for parking, or using the shuttle service, you agree to these terms. The booking details recorded when the booking is made and any written special terms agreed with you also form part of the contract.
1.3 Nothing in these terms affects your statutory rights, including your rights under the Consumer Rights Act 2015.
2. Bookings
2.1 Where you book and pay online, your booking is accepted and the contract between you and us is formed when your payment is successfully processed and the booking is completed through our website. A confirmation may also be sent by email or text message, but failure to receive that message does not mean that the booking has not been accepted.
2.2 Where you enquire through our website, or book in person, by telephone, email or in cash, no contract is formed until we confirm that we have accepted the booking. Sending an enquiry or joining the waitlist does not reserve a space.
2.3 Please check the details provided during booking and any confirmation you receive. You must notify us as soon as reasonably possible if any information is incorrect.
2.4 The booking is valid only for the dates, times, vehicle registration and service provided when the booking was made. It may not be resold or transferred without our written agreement.
2.5 You must provide complete and accurate contact, flight, passenger and vehicle details, and tell us as soon as reasonably possible of any changes. We are not responsible for delay or additional cost caused by incorrect or incomplete information supplied by you.
2.6 A booking gives you permission to park one accepted vehicle for one continuous stay. It does not create a tenancy or grant any interest in the land.
2.7 The car park currently holds a maximum of 15 vehicles on site at any one time. Occupancy is counted for every calendar day of your stay (entry date through exit date inclusive). If any day of the requested stay is already at that limit, those dates cannot be booked.
2.8 If your dates are full you may join the waitlist. Joining the waitlist does not create a booking and does not reserve a space. We will contact you if a space becomes available; you are not obliged to accept it.
3. Prices and payment
3.1 The price is the amount shown and accepted when the booking is completed (or, for an enquiry, the amount we confirm to you) and includes VAT where applicable. That price includes parking for the booked period and extra-passenger charges where they apply. Payment is due at the time of booking unless we agree otherwise in writing.
3.2 Parking is charged by reference to the booked period. If you arrive early or return late and your vehicle remains beyond that period, an additional charge may apply at the rate notified at the time or our then-current daily rate. Any additional parking charges must be paid before you leave the car park.
3.3 No refund is due merely because you arrive later, leave earlier, do not use the shuttle, or do not use all of the booked period.
4. Changes and cancellations
4.1 You may request a change or cancellation by contacting us using the details in clause 18. Any request is effective only when received by us.
4.2 If we receive a cancellation at least 24 hours before the booked entry time, we will refund the amount paid less a £10 cancellation and administration charge. The charge will not exceed the amount paid for the booking. If we receive a cancellation less than 24 hours before the booked entry time, or if you do not arrive for your booking, no refund will normally be provided. We may consider exceptional circumstances at our discretion. This does not affect any refund or other rights you may have by law.
4.3 Changes are subject to availability. If a change increases the price, you must pay the difference. If a change reduces the price and is requested at least 24 hours before the booked entry time, we will refund the difference less a £10 administration charge. The charge will not exceed the amount being refunded.
4.4 If we cancel because we cannot provide the booked service for a reason within our reasonable control, we will refund the amount paid for the unavailable service.
4.5 Bookings are for parking and shuttle transfers on specific dates. The 14-day cooling-off period under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 does not normally apply to this kind of dated service. Your cancellation rights are those in this clause 4, together with any rights you have by law.
5. Arrival and permitted vehicles
5.1 You must arrive at the car park at the arrival time stated in your booking. Your booked arrival time allows us to plan vehicle check-ins and shuttle transfers and must be treated as an appointment time, not an approximate arrival time.
5.2 If you expect to arrive late, you must notify us as soon as reasonably possible. We cannot guarantee that a shuttle will be available immediately for customers who arrive after their booked time, and we will not hold or delay a shuttle to wait for a late arrival. You may be required to wait for the next available transfer.
5.3 You remain responsible for allowing sufficient time to check in, park, unload, transfer to the terminal and complete the airline’s check-in, baggage and security procedures. Allowing additional time before your flight does not alter your obligation to arrive at the car park at the time booked.
5.4 We are not responsible for a missed flight or other loss resulting from your late arrival at the car park, your failure to notify us of a delay, or any wait for the next available shuttle caused by your late arrival.
5.5 Unless agreed in advance, we accept ordinary cars and light vans only. We may refuse a vehicle that is unsafe, unroadworthy, leaking, excessively large, modified in a way that creates a risk, or not properly insured, taxed or licensed for road use. Vehicles with trailers must be agreed in advance.
5.6 You must drive carefully, observe signs and instructions, park only where directed, supervise children, and not obstruct access or other vehicles.
5.7 Please telephone us on 01292 611655 approximately ten minutes before you arrive at the car park, and again when you are collecting baggage on your return, so we can arrange your shuttle.
5.8 If you need assistance (for example a wheelchair user, an assistance dog, extra time, or more than the usual number of passengers for the shuttle), tell us when you book. We will say whether we can accommodate you. We do not provide child car seats. Children must travel in a way that is lawful for the shuttle as presented.
5.9 There is no electric-vehicle charging at the site unless we have agreed it in writing in advance. You should not leave a vehicle plugged in.
6. Parking and vehicle keys
6.1 You are responsible for parking your vehicle in the space directed by our staff and ensuring that it is properly parked and secured.
6.2 You must retain your vehicle keys at all times. We do not accept keys for storage or safekeeping.
6.3 You are responsible for keeping your keys safe throughout the booking period and for access to your vehicle. We are not responsible for keys that are lost, stolen or damaged while retained by you, or for any resulting delay, expense or inability to access or collect your vehicle.
6.4 If you lose or damage your keys, you are responsible for arranging and paying for any replacement key, locksmith, vehicle recovery or other assistance required.
6.5 We may record the vehicle’s visible condition on arrival by notes, photographs or video. This is an operational record and does not amount to a full mechanical or bodywork inspection.
7. Your responsibilities for the vehicle
7.1 Before leaving the vehicle, you must:
- close all windows and doors, apply the handbrake, switch off lights and accessories, and engage any alarm, steering lock or immobiliser;
- remove valuables, cash, travel documents, medication, fragile items and other items that should not be left unattended;
- remove all persons and animals, and ensure no dangerous, illegal, flammable or perishable item is left in the vehicle.
7.2 You remain responsible for the vehicle’s insurance and for any loss caused by its condition, contents, alarm, defect or your breach of these terms.
8. Shuttle transfers and flight times
8.1 Any shuttle journey time, waiting time, frequency or departure time is an estimate only and may vary. Transfers operate subject to demand, vehicle capacity, traffic, road conditions, airport access arrangements and operational circumstances.
8.2 You are responsible for choosing an arrival time that allows adequate time for check-in at the car park, unloading, waiting for the shuttle, the journey to the terminal, airline check-in, baggage drop and airport security. You should also allow a reasonable contingency for delay and follow your airline’s advice on when to arrive at the airport.
8.3 We are not responsible if you miss a flight, check-in deadline, baggage deadline or other onward arrangement because you arrived late at the car park, did not allow sufficient time, provided incorrect information, failed to follow instructions, or because of traffic, road closures, accidents, adverse weather, airport restrictions, security incidents, breakdowns or other events outside our reasonable control.
8.4 Nothing in this clause excludes liability where a missed flight is caused by our failure to exercise reasonable care and skill and liability cannot lawfully be excluded. You must take reasonable steps to reduce any loss, including notifying us promptly of any urgent timing concern and arranging reasonable alternative transport where appropriate.
8.5 On your return, you must follow the collection instructions and contact us at the appropriate time so we can prepare for your collection. If you have checked luggage, you should contact us when you are waiting for it at baggage reclaim. If you do not have checked luggage, you should contact us after your flight has landed. You must then make your way to the same location where the shuttle dropped you off at the beginning of your journey and be ready there for collection. You are responsible for all luggage and personal belongings and must check that nothing is left in the shuttle.
8.6 Any collection or waiting time provided is an estimate. We cannot guarantee immediate collection, particularly where you contact us later than instructed, are not ready at the collection point, or circumstances outside our reasonable control cause a delay.
9. Vehicle damage, theft and personal belongings
9.1 Parking is at the vehicle owner’s risk except to the extent that loss or damage is caused by our negligence, breach of contract or other matter for which liability cannot lawfully be excluded.
9.2 We are not responsible for:
- pre-existing damage, ordinary wear and tear, minor surface marks not shown to have occurred while the vehicle was in our care, or deterioration due to age or condition;
- mechanical, electrical, battery, tyre, windscreen, glass or alarm failure not caused by our negligence;
- loss or damage caused by weather, flooding, falling debris, wildlife, pests, vandalism, theft or attempted theft, unless our negligence caused or materially contributed to it;
- loss of or damage to any property left in the vehicle. We do not accept valuables or other property for storage or safekeeping; or
- loss arising from an inaccurate description of the vehicle, undisclosed defect, insecure vehicle, or failure to comply with clause 7.
9.3 We do not guarantee that the car park is free from all risk of theft, vandalism or damage. References to CCTV, gates, monitoring or other security measures describe facilities or procedures and are not a guarantee of security.
9.4 You should inspect the vehicle before leaving the site. Any alleged new damage, loss or missing item should be reported to staff immediately and before departure where reasonably possible, with photographs and supporting information. Failure to report promptly may make investigation more difficult but does not remove your legal rights.
10. Limits on our liability
10.1 We do not exclude or limit liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, breach of your statutory rights, or any other liability that cannot lawfully be excluded or limited.
10.2 Subject to clause 10.1, we are responsible for loss or damage that is a foreseeable result of our breach of contract or failure to use reasonable care and skill. We are not responsible for loss that was not foreseeable when the contract was made.
10.3 We supply the service for private and domestic use. We are not responsible for business losses, including loss of profit, revenue, business, contracts, opportunity or goodwill.
10.4 You must take reasonable steps to minimise any loss and allow us a reasonable opportunity to investigate and, where appropriate, put matters right.
11. Events outside our reasonable control
11.1 We are not responsible for delay or failure caused by circumstances outside our reasonable control, including severe weather, flood, fire, road closure, exceptional congestion, accident, civil emergency, terrorism, industrial action, power or communications failure, airport closure or restriction, government action, public health measures, or failure of a third-party service not reasonably avoidable by us.
11.2 We will take reasonable steps to reduce the effect of such an event and resume the service when reasonably possible. If it materially prevents performance, we may offer an alternative, reschedule the booking or provide any refund required by law, taking account of services already supplied and costs properly incurred.
12. Refusal of service and prohibited conduct
12.1 We may refuse entry, transport or continued service where reasonably necessary for safety, security or compliance with law, including where a person is abusive, threatening, intoxicated, behaves dangerously, refuses reasonable instructions, or carries a prohibited item.
12.2 You must not repair, wash, sell, hire, sleep in or conduct business from a vehicle at the site; smoke or vape in the shuttle; light fires; misuse facilities; take unauthorised photographs or recordings of security arrangements; or commit any unlawful act.
12.3 If your breach causes loss, damage, additional work or third-party charges, you will be responsible for our reasonable and evidenced costs, to the extent permitted by law.
13. Delayed return and uncollected vehicles
13.1 If your return is delayed, you must notify us as soon as reasonably possible. Additional parking charges will apply for the extended stay unless the delay was caused by our breach.
13.2 If a vehicle is not collected and we cannot obtain satisfactory instructions from you, we may arrange for its removal or take lawful steps concerning the uncollected vehicle after giving reasonable written notice where practicable. You will be responsible for reasonable additional parking, storage, recovery and administration costs, except to the extent caused by our breach. We will not sell or dispose of a vehicle except in accordance with applicable law.
14. Personal data and CCTV
14.1 We process booking, contact, vehicle and journey information to administer bookings, provide the service, prevent fraud, maintain security and deal with claims. CCTV or other images may be recorded at the site and in connection with vehicle condition or incidents.
14.2 How we use personal information is explained in our Privacy notice.
15. Complaints and claims
15.1 Please raise any immediate concern with staff so we have an opportunity to assist. Formal complaints or claims should be sent promptly using the contact details in clause 18 and should include your booking reference, dates, vehicle registration, description of the issue, photographs and any supporting receipts.
15.2 We aim to acknowledge complaints promptly and provide a substantive response within 10 working days where reasonably possible. Complex matters may take longer, in which case we will provide an update.
16. Changes to these terms
16.1 The terms applying to your booking are those made available to you when the contract was formed. We may update these terms for future bookings. A change will not retrospectively reduce your rights under an existing booking unless required by law or agreed with you.
17. General and governing law
17.1 If any provision is found unlawful or unenforceable, the remaining provisions will continue in effect. A delay in enforcing a right does not waive it.
17.2 No person other than you and us has any right to enforce this contract, except that a passenger using the shuttle under your booking may rely on provisions intended for their protection.
17.3 These terms and the contract are governed by Scots law. The Scottish courts will have jurisdiction. If you live elsewhere in the United Kingdom, you may also be entitled to bring proceedings in the courts of the part of the United Kingdom where you live.
